Privacy Notice

This notice explains what personal information we collect, why we collect it, where it is kept and what your rights are. It is issued in terms of the Protection of Personal Information Act 4 of 2013 (POPIA). Wisdom Asset Management (Pty) Ltd is an authorised financial services provider (FSP 47093) based at Heron House, Garlington Estate, Hilton, Pietermaritzburg, KwaZulu-Natal. We are the responsible party for the personal information described here.

What we collect

To give financial advice and administer your investments and insurance we may collect:

  • Identity and contact details: name, ID or passport number, date of birth, address, telephone, email.
  • Financial details: income, assets, liabilities, tax number, bank details, existing policies and investments, employer and pension fund membership (including GEPF).
  • Documents required by the Financial Intelligence Centre Act (FICA): copies of your ID, proof of address and bank statements.
  • Health information, where needed for a risk or insurance needs analysis. This is special personal information and is only collected with your consent.
  • Records of our meetings, advice and correspondence, as required by the Financial Advisory and Intermediary Services Act (FAIS).

Why we collect it

  • To provide financial planning advice and to place and administer investments and insurance with product providers on your instruction.
  • To meet our legal duties under FAIS, FICA and tax legislation, including client identification, sanctions screening and record-keeping.
  • To keep you informed about your investments, reviews and matters relevant to your plan.

We do not sell personal information and we do not use it for third-party marketing.

Sharing your information

We share personal information only where necessary to act for you or as required by law, with:

  • Product providers and platforms where your investments or policies are held (for example Allan Gray, Sygnia, Marriott, Old Mutual, Momentum, Ninety One, Santam, Discovery).
  • Our compliance officer and, where applicable, the Financial Sector Conduct Authority, the Financial Intelligence Centre and the South African Revenue Service.
  • Service providers that host and process our systems, listed below.

WhatsApp document collection

We may ask you to send FICA documents (ID, proof of address, bank statement) to our business WhatsApp number. This channel is provided through Meta's WhatsApp Business Platform. Messages are transmitted through Meta's servers and are subject to Meta's own privacy policy. Documents you send are filed directly into your client folder on our secure storage and are not kept on the WhatsApp number's device. Please send only the documents we ask for. If you would rather not use WhatsApp, you may email the documents or bring them to our office.

Where your information is stored and processed

  • Client records and documents are stored on Google Workspace (Google Drive, Gmail) and Google Cloud, with data hosted in Google's Johannesburg (South Africa) region where available.
  • Where we use automated tools to read and extract details from documents you provide, that processing is carried out on Google Cloud's Vertex AI service. Because this service is not available in the South African region, processing takes place in the European Union (Belgium). Google does not use this information to train its models, and the transfer is made under Google Cloud's data processing terms, which provide protection substantially similar to POPIA as required by section 72 of the Act.
  • Product providers hold their own records of your investments under their own privacy notices.

How long we keep it

FAIS and FICA require us to keep client records for at least five years after the end of our relationship or the completion of a transaction. We keep records for that period and then delete or anonymise them unless a longer period is required by law or a dispute is pending.

Security

Access to client information is limited to our staff and service providers who need it to do their work. Our systems require sign-in, are protected by two-factor authentication, and are backed up. If we become aware of a breach affecting your information we will notify you and the Information Regulator as POPIA requires.

Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it, and object to processing in the circumstances POPIA allows. Some information must be kept for the periods required by FAIS and FICA even if you ask for deletion. To exercise these rights, contact our Information Officer at the details above.
